Getting new employees on the payroll 40 times faster

Kolibrie is the HRM specialist for the hospitality industry since 1994 Entrepreneurs can let Kolibrie take care of their employees, without having to worry about administrative work.

Kolibrie processes more than 10,000 sign-ups per year. Each of these needed to be processed by hand. With the software and app we’ve created, Kolibrie can register an employee 40 times faster! What took a week, can now be done in just 4 hours.

 

 

 

OUR APPROACH

A streamlined sign-up and management system.

We started collecting information by going to the Kolibrie office and learning from the way their employees work. We’ve also interviewed several experts. We concluded that registering a new employee was very time consuming. This was because there are a lot of rules depends on collective labor agreements. There are also specific agreements per client that weren’t registered according to one standard. Per year Kolibrie had to use hundreds of forms, which had to be manually entered in their system by employees. Also, new employees had to come to the office to sign a contract. This way of working was time-consuming and very prone to error.

Together with Kolibrie we’ve designed a new process. We’ve made it possible for entrepreneurs and employees to handle the sign-up entirely by themselves.

We’ve thoroughly tested the design with Kolibrie’s clients to ensure the application is as user-friendly as possible.

 

 

Multi-sided platform

With Ruby on Rails we have developed a web application with which hospitality business owners can make a new contract offer for their employees. All customer agreements and CLA rules are recorded in the system. This is taken into account when drawing up a contract, so that a client can only choose the right options.

Employees with the iOS or Android app can then accept contracts, complete their data and identify themselves. A clear overview of these actions is kept so that Kolibrie can optimally support its relations and employees in this if necessary.

In the future, the employee app will be further expanded so that employees can also write hours, view pay slips, apply for leave and much more.

RESULTS

What took a week, can now be done in just 4 hours.

Hospitality entrepreneurs can now register a new employee within a few minutes without the help of Kolibrie. In addition, new employees can receive and sign a contract faster via the app.

Also for Kolibrie it saves a lot of work and there are fewer mistakes. The personal data of new employees are now directly checked and supplemented by the employee himself. Also the checking of the legal documents is automated and the signing of contracts is now done digitally.

The first results exceeded all our expectations. The first hundreds of registrations with the new system take an average of only 4 hours per registration, whereas previously it took more than a week!
